When Should You Start Planning Corporate Holiday Gifts?

When Should You Start Planning Corporate Holiday Gifts?

BB Baskets |

The short answer?

Earlier than you think.

Corporate holiday gifting has a funny way of feeling months away until suddenly December is around the corner, everyone's calendar is full, your recipient list is missing 17 addresses, and someone has just asked:

“Are we doing client gifts this year?”

Yes.

Apparently we are.

The good news is that corporate holiday gifting doesn't have to become a December emergency.

You don't need every address, card message and ribbon colour finalized months in advance. But starting the process early gives you more product choices, more customization options and significantly fewer rushed decisions.

Here's a practical timeline for keeping everything under control.

September: Start the Conversation

September is ideal for establishing the framework.

You don't need to choose the gifts yet.

Start by determining:

Who are we gifting?

Clients?
Employees?
Referral partners?
Executives?
Vendors?
A combination?

Then establish:

Approximate quantity
Budget per recipient
Overall budget
Who needs to approve the project

If you have 200 recipients but only 150 confirmed names, that's okay.

An approximate quantity is enough to begin discussing options.

October: Choose Your Gifts and Get the Details Moving

If you're reading this in October and haven't started yet:

You're not late. But now is a very good time to get moving.

October is when I would aim to make the bigger decisions.

Choose your approximate gift level or levels.

For example:

Employee Gifts — $125–$150

Client Gifts — $175–$225

VIP / Executive Gifts — $250+

Then start discussing what the gifts should feel like.

Premium gourmet?

Local Calgary and Alberta products?

Wine and gourmet?

Non-alcoholic?

Designed for sharing?

Something for the home?

You don't need 25 options.

You need a few strong options that work for your recipients, budget and brand.

October Is Also Branding Month

If you want company branding incorporated into your gifts, now is the time to decide how.

That might include:

Custom ribbon
Branded gift tags
Company colours
Custom cards
Logo stickers or seals
Company-supplied merchandise

Get your approved logo files to your gifting company early.

And find out who needs to approve the final design.

Marketing departments are wonderful.

Marketing departments on December 8 approving ribbon are slightly less wonderful.

Start Building the Recipient List Now

Don't wait until November to ask everyone for addresses.

Start your master spreadsheet while gift selections are being finalized.

Collect:

Recipient Name
Company
Address
City / Province / Postal Code
Phone Number
Gift Level
Card Message
Dietary / Alcohol Notes
Special Instructions

Your list doesn't have to be complete before you begin the order.

The gift planning and recipient-list building can happen at the same time.

Early November: Finalize the Big Stuff

By early November, your major decisions should ideally be made.

That includes:

Gift selections
Approximate quantities
Budget
Branding
Packaging
Card message
Delivery strategy

Your recipient list may still have a few holes.

That's normal.

What you don't want to be doing in November is completely redesigning the project.

Get the Card Message Approved

This deserves its own section because somehow the card message always becomes a thing.

Write it.

Send it to whoever needs to approve it.

Make the changes.

Then mark it:

FINAL.

If you have VIP clients receiving personalized messages, collect those separately in your recipient spreadsheet.

Do not leave this until the gifts are ready.

Mid to Late November: Production Mode

By this point, the project should move from:

“What should we send?”

to:

“Let's get these ready.”

This is when final recipient updates, card printing, branding, assembly and delivery coordination should be happening.

There will probably still be changes.

Someone left the company.

Someone joined the company.

A client moved.

The president remembered six people.

That's corporate gifting.

A little flexibility is normal.

Completely rebuilding the order is what we're trying to avoid.

December: Delivery — Not Decision-Making

Ideally, December should be about getting gifts into people's hands.

Not deciding what to buy.

Not approving the logo.

Not finding the recipient list.

Not asking finance whether there's a budget.

The closer you get to the holidays, the more flexible you may need to be regarding:

Product availability
Custom branding
Packaging
Shipping timelines
Delivery dates

That doesn't mean a December order can't still look beautiful.

It just means there may be fewer options available.

Should You Send Corporate Gifts Earlier?

Sometimes, yes.

There is no rule saying your corporate holiday gifts need to arrive the week before Christmas.

In fact, earlier delivery can have some advantages.

Clients haven't received ten other gifts yet.

Offices are more likely to be staffed.

Employees haven't started holidays.

Shareable gifts can be enjoyed throughout December.

Your gift may actually receive more attention because it arrived before the rush.

For many companies, late November through early December can be an excellent delivery window.

What If You're Already Behind?

First:

Don't panic.

Second:

Don't spend three days trying to create the perfect plan before contacting a gifting company.

Start with:

Quantity + Budget + Recipient Type + Delivery Date + Destination

For example:

“We need approximately 75 premium client gifts in the $175–$225 range delivered throughout Calgary by December 15.”

That gives us something useful to work with immediately.

From there, we can tell you what is realistic.

You may need to be flexible with products or customization, but last-minute doesn't have to look last-minute.

Create an Internal Deadline That's Earlier Than the Real Deadline

This may be the best holiday gifting advice in this entire article.

If you want your gifts delivered by December 15...

December 15 is not your deadline.

Create earlier internal deadlines for:

Recipient list
Budget approval
Gift approval
Logo files
Card message
Dietary requirements
Final changes

Give yourself some breathing room.

Because something will change.

It always does.

Your Simple Corporate Holiday Gifting Timeline

September: Budget + Quantity + Recipient Groups

October: Gift Selection + Branding + Recipient List

Early November: Final Approvals + Card Message + Delivery Plan

Late November: Production + Final Recipient Updates

December: Delivery + Enjoy Not Panicking

That's it.

Corporate holiday gifting doesn't need a 47-step project plan.

It just needs the right decisions made at the right time.
